GOLDEN “R” COMMITTEE – JOB DESCRIPTION

CHAIRPERSON

  • Conducts Luncheon Planning Meetings
  • Invites RPS Superintendent to attend and speak briefly at Luncheon
  • Checks with committee members for updates
  • Help set-up the day before Luncheon
    • check with custodian about opening doors
    • Sound system
    • Piano (entertainment)
    • Beverage set up in Common Area
    • Name Tags in Common Area
  • Give short greeting at the Luncheon
  • Secure person to do the Invocation
  • Obtain permits for Facility Use Application online from Community Ed
  • Liason between Committee and Rockford Public Schools
  • Ambulance call (616.855.2293) to make arrangement for ambulance service on site approx. 10:30am-2pm

  • SECRETARY
    • Take minutes at all meetings
    • Send typed minutes to the Committee Email List
    • Send Treasurer Report and Meeting reminders to Email List
    • Jan/Feb work with Chairperson to secure a place & dates for Plannings Meetings for the upcoming June Luncheons (Send info to committee in March)
  • TREASURER
    • Make deposits
    • Pay bills
    • Scholarship Fund
    • Treasurer’s Report for Meetings
  • INVITATIONS TO THE LUNCHEON
    • Update invitation
    • Get printed on orange paper
    • Purchase Envelopes
    • Update Data Base and make address labels
    • Return labels
    • Purchase stamps for return envelopes and other correspondence
  • RESERVATIONS
    • Get reservations slips from Jim Thomson
    • Name and spouse
    • Give reservations slips to name tag person
    • Give final count to Food Service
  • PRINTED PROGRAM
    • Order of Program
    • Menu Listed
    • Committee members and job listed
    • List of chairperson(s)
    • Words to “God Bless America & RHS “Fight Song”
  • NAME TAGS
    • Get reservation slips from Treasurer to make name tags (by class)
    • Make name tag for each person & spouse/guest who made a reservation
    • Put name tages on the tables in the foyer, sorted by class
    • 5-6 volunteers needed for name tag tables
  • PUNCH DISPENSERS
    • 4-5 Volunteers needed to oversee dispensers located in the foyer
  • GREETERS
    • 2-3 members from the incoming class
    • 4-5 members from the planning committee
    • Greeter at the Fine Arts doors
    • Direct people to name tag table & beverage area
    • Keep doorway clear of congestion
  • SET UP TABLES
    • Set up at 9 am on Friday (day before Luncheon)
    • Get Reservations numbers by classes
    • Arrange table so members of each class are sitting together
    • Do NOT mix up classes, unless you have half table left over 8 (EIGHT CHAIRS TO A TABLE)
    • Older classes – sitting close to the front
    • Sit Teachers together – in the middle
    • Put Grad Year signs on all tables
    • Scholarship donations baskets on each table – pick up after event is over
    • Electric Piano make sure plugged in
    • Need Space for Entertainment
  • GOLF CART SHUTTLE
    • Arrange for 3 golf cars to take people from parking lot to the RHS Fine Arts Entrance
  • WHEELCHAIRS
    • Arrange for wheelchair to be available for anyone needing assistance
  • AMBULANCE
    • Check with Ambulance Service to make sure we have someone on site
  • GOLDEN “R” DIRECTIONAL SIGNS
    • On the morning of the Luncheon put out Golden “R” signs directional signs
    • Corner of Kroes and Northland: Kroes & Brewer, Kroes and Childsdale etc.
    • 4 signs are available
  • TEACHERS
    • Look at the list of teachers invited in the past (the list will be available the first meeting)
    • Ask incoming class if they have additional teachers they would like to invite
  • MUSICAL ENTERTAINMENT/PIANIST
    • Ask RHS Music Department if one of the band groups would like to perform. If possible have them preform “America the Beautiful” and “RHS Fight Song”
    • Electric piano make sure it is plugged in
  • WELCOME TO INCOMING CLASS
    • Welcome given by a member of the last year’s class
    • Have the incoming class stand up
    • Introduce person who will speak briefly on behalf of the class
  • GOLDEN R SCHOLARSHIP
    • Contact RHS Counseling Office about scholarship and how much to be awarded
    • Attend awards banquet to explain the Golden R and scholarships
    • Announce the scholarship award winner(s) at the banquet
    • Invite winner(s) to attend the Luncheon and speak briefly
    • Note: The Scholarship winner(s) are selected by RPS
  • ENTERTAINMENT
    • Discuss at planning meeting if you would like to have some sort of entertainment
    • Present ideas, vote and have someone in charge
  • PUBLICITY
    • One or two months ahead of the Luncheon, contact “Rockford Squire” to have them publish the date, time, and place, and reservation information
  • GOLDEN “R” FACEBOOK PAGE
    • Facebook Administration – will keep events, dates, and pictures up to date
    • Facebook Monitors – will screen and accept (or reject) new member request
  • DATABASE OF GOLDEN “R” CLUB
    • All RHS Graduates of 50 years or more
    • Keep up-to-date: address, phone, email, spouse name
